How can I export and use my BrokerForce™ data with Excel?

There are several ways to do this:

  1. BrokerForce™ data is open architecture however, all copyright rights are reserved.  Information not otherwise available within the application can be accessed/exported using Microsoft Access 2000.  DataForce does not support the modification of BrokerForce™ data outside of the BrokerForce™ application.
  2. The EDI form can be used to import or export data in different file formats.  The method used to import or export data in a particular form is referred to as a profile.  A profile contains information as to the data file type, field names, data types, and in the case of an import profile, the destination table(s).  Excel can be used to open and save files exported from BrokerForce™ in alternative data formats including the Excel format.  For example, after using the "Contacts_ASCII" profile to export your contacts list to the file "C:\My Documents\Data\ContactsForExport.csv", that file can be opened in Excel by clicking <File>, <Open>, <Files of type> "*.txt, *.csv...", and then pointing to the exported file.  To save the file in Excel format, click <File>, <Save As>, select <Save As Type> "Microsoft Excel..." , and enter an appropriate name.  For more information, see the BrokerForce™ "Export..." help topics.
  3. Most reports offer to export their results to Excel when the report is closed.  Click <Yes> when prompted.
  4. Most flexible - Select, copy, and paste information from BrokerForce™ into a blank Excel worksheet.  Example below:

 

Customer export example:           

  1. On the Customer form apply the filter by form for the customers that you want to export to Excel otherwise, double-click the <Locate Company> control to toggle it to edit mode. 

  2. Click the customer record handle (long vertical gray bar with edit pencil or arrow at left)

  3. Press <Ctrl-A> or click <Edit>, <Select All records> to select all records within the form’s filter

  4. Pres <Ctrl-C> to copy all the customer information into the Windows clipboard

  5. Without closing BrokerForce™, open Microsoft Excel to a new worksheet or workbook

  6. Click inside cell A1, press <Ctrl-V> or <Edit>, <Paste>.  All the customer records will be pasted into Excel and the file can then be saved to any alternate data format supported by Excel.

  7. Tip: Widen the Notes, CompanyName, and address columns and then resize the cells to create shorter rows.  Delete unnecessary columns such as the EmployeeID by right-clicking on the letter at the top of the column in Excel and then selecting <Delete>.

  8. E-mail: subject to file size limitations, any of the files created from the above can be attached to an outgoing e-mail.
